3. Exhibition Management Office (EMO)

 

To cater to the exhibitors' various needs, under the Exhibition Management Office (EMO), organizers have set up several offices working prior to and during the Show. These offices are Stand Contractor Office, Freight Forwarder Office, Seminar Office, Security Office and On-site Operation Office, etc. Before the show, please contact:

4. Registration of Exhibitors

 

Registration of exhibitors will be carried out near the main entrance, where each exhibitor will be issued the entrance permit badge. Exhibitors are kindly required to fill in Form 3 and return to EMO/WES before the deadline, as we shall prepare the badges in advance. The registration will also serve as an Information Desk where you can get the Welcome Kit we specially prepare for you to stay at the Show easy and enjoyable. It is therefore particularly important that you complete and return Form 3 and keep us informed of last minute changes.

6. Show Activities

 

The Opening Ceremony will be held on Monday, June 13, 2005 at 09:30 a.m. in Shanghai New International Expo Center (SNIEC). Chinese Officials, trade personnel, end-users and exhibitors will be invited.

The Opening Reception will be held in the evening of June 13, 2005. Chinese officials, end-users and representatives of overseas exhibiting companies will be invited.

 

Seminars: Exhibitors are welcome to hold seminars during the Show. Please refer to Form 4.

 

7. Publicity Services

 

The Official Catalogue Distribution: the Official Catalogue will be prepared prior to the show. It will not only be available to end-users and visitors, but also be distributed to government offices, trade corporations and chambers of commerce. Details refer to Form 1A for listing entries of the Official Catalogue.

 

The Official Catalogue Advertisement: the Official Catalogue is used extensively throughout the Show as a guide, and will also be retained by the visitors as a valuable source of reference after the event. As such, exhibitors are encouraged to take advertisement pages on the Official Catalogue as it will not only attract more visitors to your stand, but also will prove a worthwhile investment in the time to come. Details refer to Form 1B.

 

8. Hotel Accommodation

 

The organizers shall recommend you several hotels near by the Show site. Details refer to Form 9.

 

9. Official Freight Forwarder, Separate Manual will be delivered to you.

 

SHANGHAI EXPOTRANS LTD. has been appointed as the official forwarder. They will be responsible for the shipping, customs clearance and site handling of exhibit freight. Shipment schedule, documentation and related matters will be handled directly between the official freight forwarder and exhibitors, please contact:

   * Exhibitors are advised to pay attention to the shipping deadline. All promotion materials, printed matters, videos and slides must be passed to the official freight forwarder for Chinese customs declaration and approval.

** For security purpose, all electrical work from the individual stand or the national pavilion to the main switches and all electrical connection for power supply within each stand/national pavilion must be handled by the Engineering Department of SNIEC - the venue owner. No contractors are permitted to do the electrical connection job for power supply. Electricity in China is 380V/three phase or 220V/single phase of 50Hz .

 

11.The Official Power Supply Contractor

 

The Engineering Department of Shanghai New International Expo Center (SNIEC) is the sole official power supply contractor who is also the sole supplier for water supply/drainage and compressed air. Details refer to Form 5B. It is stressed again that for security purpose, all electrical connection of power for both stand and machinery must be handled by the Official Power Supply Contractor.

13. Circumstances Information

 

Climate: the average temperature in Shanghai in June is about 25 Centigrade Degree.

 

Credit Card & Currency: small hotels, shops and restaurants accept cash only while major hotels and high class restaurants accept credit card. VISA, Mastercard are commonly used in China. You are not recommended to rely totally on credit card in your daily expenses.

 

Currency exchange is available at the airport, banks and in major hotels.

Insurance: Exhibitors and delegates are advised to effect their own personal accident, property and exhibit insurance.

 

Electric Power: the electricity power used in China is 380V/three phase and 220V/single phase of 50Hz. The sockets and plugs in China may be a little different from those in your home country, so we suggest you bring an adapter.

 

 

RULES AND REGULATIONS

 

1. Customs Clearance

 

All items and exhibits entering the exhibition halls must be first cleared by the customs. Exhibitors are to check with the Official Freight Forwarder regarding this procedure in any case.

 

Please note that any item that is not cleared by the Customs will not be allowed to leave the Exhibition halls once brought in.

 

Tax is normally not imposed on displays, stationery and drinks to be consumed in the exhibition hall. If you want to distribute any small gifts, please declare to customs for approval. In order to avoid disorder on the exhibition site, you are not encouraged to distribute gifts at the stands, except small quantities of gifts to your customers or people who serve you at the exhibition.

 

All literature for distribution, slides, videos and movies must be approved by the Chinese Customs in advance. Please note and check freight forwarder's manual for details.

 

2. Stand Cleaning

 

The organizers will arrange for the general cleaning of the Show premises and stands (excluding exhibits/displays) prior to the opening of the Show and daily thereafter, but it is the responsibility of the exhibitor to keep his stand tidy at all times. Exhibitors are requested to place any rubbish or discarded materials in the aisles at the end of each day to avoid confusion for the removal by the cleaners.

 

Exhibitors are to arrange their packing materials, empty cartons and wooden crates to be removed and disposed before the Show opens and daily.

 

3. Insurance, Liability and Risks

 

All exhibitors shall insure, indemnify and hold the organizer and the venue owner harmless in respect of all costs, claims, demands and expenses for incidents incurred by staff or agent of the exhibitor upon any person or things at the venue. While using booths or other facilities rented from the booth contractor, the exhibitor should return them in good form and will be responsible for any damages incurred during the period of use. The organizers will not be held responsible for any theft or loss of exhibits. Exhibitors are strongly advised to insure their exhibits or other valuable properties placed at the show venue.

 

4. Security

 

Though organizers maintain security surveillance at all times, exhibitors are reminded that goods will be most at risk immediately after the Show closes on the final day. Please make sure your stand, especially personal property, portable and rented items are not left unattended at any time before, during and after the Show.

 

5. Rules and Regulations on Electricity

 

Electrical wiring shall be safe enough to avoid accident when visitors get in touch with them carelessly and unintentionally.

 

Electricity will be shut off after closing the exhibition hall. However, a 24-hour power supply can be provided at cost by arrangement of organizers.

During the move-out period, temporary electricity supply can be arranged by applying to the organizers and a 24-hour notice in advance is required.

 

6. Rules on Use of Compressed Air and Industrial Gas

 

According to the Fair Safety Regulations of the Shanghai Public Security Bureau, all air compressors must be placed outside the exhibition hall. This will be strictly enforced.

 

The use of industrial gas of inflammable or toxic nature for demonstration purpose is not permitted within the exhibition site.

 

7. Rules on Demonstrations and Operating Exhibits

 

Ensure that the exhibits are operated under strict control, under safe conditions and with safety devices.

 

Adequately guard all moving parts of the machines against any injury to the visitors. Exhibitors are advised to bar the exhibits from the reach of the visitors.

 

Cause no annoyance to visitors or other exhibitors. Acceptable noise level will be at the organizers' discretion. In case of complaints raised, the organizers reserve the right to impose limitation on the operation of the exhibits.

 

8. Admission and Identification

 

Admission of exhibitor's representative and visitors to the exhibition halls shall be at all times controlled solely by EMO/WES. Exhibitor's representatives shall wear identifying name badges as provided by EMO/WES throughout the Show hours, installation and dismantling periods.

 

9. Admission during Non-Show Hours

 

Exhibitor's representatives shall generally not be permitted to enter the Show earlier than half an hour before the scheduled opening time of the Show each day. Representatives who require earlier entrance may obtain special permission at the EMO/WES on the previous day.

 

Exhibitor's representatives shall generally not be permitted to remain at the Show after the scheduled closing time each day unless special permission is obtained at the EMO/WES in advance.

 

10. Distribution of Literature, Samples, Souvenirs, etc.

 

Samples, souvenirs, shopping bags, catalogues, pamphlets, publication, etc. shall not be distributed except from within exhibitor's booths. Adhesive backed pressure-sensitive stickers and labels shall not be distributed at the Show site. Violations of this rule shall be deemed conduct detrimental to the best interests of the Show and will also subject the exhibitor to any cleaning and repair charge incurred to remove them from floors, walls, columns, other booths, etc.

 

11. Obstruction of Aisles or Nearby Booths

 

Any demonstration, live performance or other activity which results in obstruction of aisles or which prevents ready access to a neighboring booth shall be suspended by organizers.

 

12. Stand Fitting Regulations

 

Raw space with special designs:

For exhibitors applying for 'raw space', no structure in their stand fitting may exceed a limit height of the hall, and no part of any structure may extend beyond the boundaries of the site allocated.

 

Exhibitors with stands of special design are required to send the dimensional drawings in duplicate to the organizers for approval before any work is put in hand, and in any case no later than May 1, 2005.

 

The hall owner will charge a management fee of US$4.00/sqm.(Net) for the construction of the special design stand. The payment must be made before the show move-in date.

Shell schemes/package stands:

For exhibitors who take shell schemes/package stands, no additional stand fitting or display may be attached to the shell stand structure, i.e. no nailing or drilling will be allowed.

 

The organizers will arrange corner shell stands as two sides open (two sets of the company's sign panel) unless otherwise notified by the exhibitors of the stands.

 

 

 

BONDED WAREHOUSE SPECIAL FOR EXHIBITS

 

 

For convenience of exhibitors after closing the Show, we specially render exhibitors bonded storage service for exhibits concerned. If exhibitors need to store exhibits in bonded warehouse due to further procedures or formalities unfinished please contact the official freight forwarder to move the exhibits away from fair ground and store them in bonded warehouse. Following information may help exhibitors to be aware of the necessary procedures.

 

1. Storage Period

 

1~6 months after the exhibition. Thereafter, time can be extended for special reason after completion of relative procedures.

 

2. Services Rendered

 

a.

Moving exhibits from booths to bonded warehouse upon request.

b.

Being responsible for normal storage instead of accidents arising from force majeure.

c.

Going through customs formalities for exhibits to be stored.

d.

Assisting sellers or buyers in handling necessary customs procedures.

e.

Assisting exhibitors in going through re-export customs formalities if exhibitors fail to sell the exhibits within storage deadline.

 

3. Tariff will be available upon request.

 

4. Documents

 

Invoices and packing lists in duplicate for each case/box, indicating correct outer dimensions, gross weight, types of package, descriptions, and prices for each piece in case/box.

 

5. Payment

 

 

To enable SHANGHAI EXPOTRANS LTD. to expedite the exhibition services, exhibitors are requested to settled payment within one week upon receipt of payment advice from SHANGHAI EXPOTRANS LTD.

6. Re-Export

 

If exhibitors plan to transport exhibits back, due to sale failure within the storage deadline, please advise freight forwarder one month in advance and issue a letter of instruction for return exhibits including details of consignee's address. If the destination is not a port/airport city, please note the nearest port to be via.

 

7. We Do Not Accept the Storage of Explosive, Flammable or Erosive Goods.

All the exhibitors will be entitled to Exhibitors' Alphabetical Listing, which will include exhibitors' name, address, telephone, fax, a short description of company products/services (max. 150 English words and correspondent Chinese text), hall & booth numbers, etc.

 

The exhibitor's name and description must be in English and Chinese. If the exhibitor has a standard or your own Chinese name and description, it is necessary to indicate it in the Form. Otherwise, the organizers will provide the exhibitor with a Chinese name and exhibition program according to standard translation free of charge. Other listing information such as address, etc. will be in English only.

Since most visitors understand only Chinese, exhibitors are encouraged to prepare their information brochures, technical sheets, catalogues, etc. in Chinese. The price below include translation of text not exceeding 1,000 English words into modern simplified Chinese, phototypesetting, artwork, color separating of not exceeding 3 pictures on one side of the 4-color sheet (each additional picture will be charged at US$ 100.-), printing on 120 gsm art paper, 278 mm (H) x 213mm(W) size (A4) and printing on both sides, export and delivery by surface to your exhibition stand.

Advertising on Admission Tickets

 

Since the organizers will try their very best to launch promotion campaign before the show by means of distributing a large quantity of tickets directly towards targeted potential clients, decision-makers, import & export agencies, technicians, engineers, end-users, wholesalers and retailers, etc., the efficient and economic way of making exhibitor's products much more popular is to have an advertisement on the reversed side of admission tickets.
